Position Description:

Juma seeks a highly responsible and organized professional to provide critical support to Juma’s Executive team. Reporting to the Director of Operations, the Executive Assistant will provide full administrative support to the CEO with light support to the Leadership and Operations team. The Executive Assistant will serve as a facilitator to coordinate schedules and travel, maintain reports and data management, and other related activities while looking out for the best interests of the executives and the organization.

 

Duties and Responsibilities

1. Executive Office Support (75%)
• Perform administrative duties for executive management, primarily to the CEO. This includes general communications management, managing calendars and coordinating travel, meeting and event arrangement, and filing.
• Monitor Executive Office expenditures against budget, prepare expense reports and process reimbursements for CEO, Chief Operating Officer and Chief of Social Enterprise.
• Create basic budget analysis and interpret budget information based on existing data.
• Prepare and edit communications, correspondence, memoranda, reports and pitches/presentations.
• Coordinate with all departments to provide data, text, files or other needed information to Leadership Team on an urgent basis.
• Serve as notetaker for all Leadership Team meetings, including drafting minutes and distributing follow-up action items.
• Serve as notetaker for all Board of Directors meetings and other committees when and if requested, which includes drafting minutes; tracking attendance; and managing permanent files of Board and related committee activities.
• Additional duties may include answering telephones and data entry.
• Requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, outside clients and vendors.
• Tracking CEO contacts, communications and prospects into the Development Salesforce database.

2. Operations & Office Support (25%)
• Support the Director of Operations in the following areas:
o Administrative tasks related to hiring and onboarding.
o Administrative tasks related to youth recruitment.
o Administrative tasks related to contracts, policies & compliance.
o Coordinate with all departments to provide data, text, files or other needed information to Operations team on an urgent basis.

Required Experience
• 2+ years of experience in administration and/or office management.
• Demonstrated experience supporting C-level executives; Experience managing relationships, scheduling and material creation for Board of Directors a plus.
• Strong command of Microsoft Word, Excel and Google Apps required
• High level of attention to detail, accuracy and organization. Ability to complete multiple tasks simultaneously and prioritize to meet deadlines.
• Ability to exercise absolute discretion with sensitive and confidential information
• Highly developed written and verbal communications skills.
• Team player with exceptional interpersonal skills.
• Self-starter, motivated, and able to take initiative in all situations; ability to function effectively in a fast-paced environment and can quickly learn new skills to meet the organization’s needs.

Job Details

Reports to: Director of Operations
Job Location: San Francisco, CA 94105
Starting Salary: $45,000 — 50,000 annually, or competitive and commensurate with experience
Classification: Full-time, Exempt
Hours/Week: 40 hours
Education: Bachelor’s degree required
Years of Experience: 2 years minimum
